Administrative Assistant Level III

Summary: This position is to provide support to the Chief of Staff to control ingress/egress for the suite, set up classified and unclassified meetings of all sorts, and meet/greet/escort high-level executive visitors. Work is located at Stafford, VA. On-site

Job Description

  • Control ingress/egress through the suite’s main entry/exit doorway.
  • Meet, greet, and escort a diverse group of executive visitors, e.g. Congressional Staff, Department of Defense, and/or other outside agencies through the suite.
  • Compile daily personnel accountability logs.
  • Maintain all manpower rosters ensuring that new joins and departures are captured accurately and provide monthly updates to key leadership.
  • Maintain all Outlook distribution lists in keeping with current guidance from the Chief of Staff and provide monthly updates to key leadership.
  • Assist the JPM CBRN P Resource Manager with the monthly HRDB updates for JPEO HQ.
  • Respond to routine and informational correspondence.
  • Assemble confidential and sensitive information, when required.
  • Make conference room, video teleconference, and teleconference line reservations, and set up conference rooms for meetings which includes establishing video teleconference and ensuring teleconference connectivity.
  • Support classified meetings in approved conference rooms, following the approved processes for conducting such meetings.
  • Screen visitors and telephone calls.
  • Explain office policy and protocol, when necessary.
  • Scan, copy, and/or enter information into databases to track and catalog maintenance, training, and asset activities.
  • Order, store, and issue supplies.
  • Set up and tear down exhibits at various locations, e.g., town halls, and meetings and arrange or assist with space arrangement to accommodate required purposes.
  • Identify security risks and implement mitigation as necessary.
  • Package and transport assets located in storage spaces or as required for PMs and staff.
  • Assist program teams prepare test assets for shipment to test sites and prepare other equipment or items for shipment.
  • Attend meetings or discussions either in person, via telecon, or using MS Teams if onsite gatherings and/or travel are restricted.

Qualifications

  • Secret Clearance
  • Able to use the Microsoft Suite of applications (e.g. Outlook, Word, Excel, Power Point) to create and maintain documents and communications
  • Possess communication skills to include written and oral
  • Familiar with Ordering, storing, shipping, and issuing supplies
  • Familiar with identifying security risks and able to implement mitigation as necessary
